Workflow

IN, report, OUT, then return on the same record.

  1. Vehicle IN

    Company, yard, financer, vehicle, repo agency, repo agent, and a published template are required before the first IN is saved. Saving IN does not send email.

  2. Review & Send Report

    After the required fields and five first-entry photographs are complete, an authorised user sends the inventory report to the repo agency and, when present, the repo agent.

  3. Vehicle OUT

    OUT records the Release Slip, handover, and billing choice, then stores the movement and slip together.

  4. Return / re-entry

    If the vehicle comes back, staff reopen the same yard inventory with a required return or refusal reason. A second inventory card is not created.

Onboarding

Create the company after payment is confirmed.

Choose a plan, complete the form, and pay on Razorpay. YIMS creates the company and root Company Login only after the payment is verified. We email the panel link — never the password.

Is YIMS suitable for multiple yards?

Yes. A company can operate many yards. Repo agencies and other party masters are company-wide, so the same agency can be selected on every yard.

Who can access each yard?

Company admins stay inside their company. Yard staff are limited to assigned yards unless they hold an explicit company-wide inventory permission.

When is the inventory report sent?

Never on save. Only a deliberate Send Report action queues delivery, and only after the required fields, photographs, and contacts are complete.

Which photographs are required?

First IN needs Front, Rear, Left, Right, and Chassis/Bottom. A later return on the same record does not ask for those five photographs again.

What happens when a subscription expires?

The company can still read history. It cannot create Yard Inventory, send reports, or mark OUT until the subscription is active again.

How is an OUT entry recorded?

OUT writes the Release Slip, handover details, and billing choice, then stores the movement and slip in one step.

What happens when a vehicle returns?

Staff record a return or refusal reason on the existing yard inventory. The vehicle comes back IN on that same record.
